Additional Information: SUMMARY Answers incoming calls for the district and routes call to appropriate locations. Performs clerical duties for the department. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: • Greet and direct visitors to appropriate department. • Receive and direct incoming calls, take reliable messages, and route to appropriate staff. • Assists applicants with completing applications and collecting required paperwork to include verification of I-9 and W-4 information. • Provide assistance to employees requesting insurance packets and Exit Forms. • Provide assistance to students requesting transcripts. • Provide assistance to parents requesting student transfers. • Receive, sort, and distribute faxes and incoming mail to appropriate department. • Prepare file folders for all applications and sends acknowledgement cards to applicants. • Update file folders with name change. • Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc. • Prepare recruitment packets and maintain database for recruiting contacts. • Process and receive criminal history record information on district employees and volunteers and maintain volunteer database. • Maintain a log of incoming packages delivered to CSSC. • Provide clerical assistance as needed. • Assign box number for terminated files and input information into database. • Assist with the preparation and maintaining of employee service records. • Assist with departmental filing. • Backup to AESOP Substitute Software. • Receive, sort, and distribute mail and other documents to department staff. General Administrative support to Director of Communication & Community Involvement • Maintain Calendar • Send reminder calls for meetings o Wildcat Mentors o TISD Alumni Association o Superintendent’s Student Advisory Council • Maintain district archive of newspaper articles • Secondary point of contact for message dissemination during crisis (ex. lockdown, severe weather situation, etc.) • Perform other duties as assigned by Supervisor/Superintendent. EDUCATION and/or EXPERIENCE High school graduate or equivalent and one to two years clerical and file maintenance experience. LANGUAGE SKILLS Ability to read and write correspondence. Ability to effectively respond to questions from administrators, faculty, parents, students and the community. Strong communications, public relations, and interpersonal skills. MATHEMATICAL SKILLS Ability to perform basic math and to calculate figures and amounts such as discounts, interest, commissions, and percentages. REASONING ABILITIES Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
